Using GroupSpaces to power a JCR/MCR mailing list
GroupSpaces' mailing list tool is designed to save time and make it easy to send out e-mails with multiple items, making it a great tool for JCR/MCR e-mail bulletins.
With GroupSpaces you can:
- Re-order items easily without having to copy and paste
- Automatically generate a table of contents
- Forget worrying about formatting - automatically create e-mails that look nice and are easy to read in both Herald webmail and Outlook/Thunderbird/GMail/others
- Save draft e-mails and return to them later
- Automatically add items to the calendar for your JCR GroupSpaces group
How to use GroupSpaces with a JCR/MCR mailing list
GroupSpaces' e-mail creation tool can work in either of two modes:
- Send to the GroupSpaces mailing list
- Send to an External mailing list
We recommend that JCRs and MCRs use the second option: using GroupSpaces to create e-mail bulletins and an OUCS-supplied mailing list to send them out. This is because the mailing list recipients need to be updated every academic year, which is usually done for a JCR/MCR mailing list by the college IT staff in conjunction with OUCS.
To ensure that e-mails created with GroupSpaces are sent correctly by OUCS or other external mailing lists, you should specify the address used to send to the mailing list in the Mailing List Address box at the point you send the e-mail - for OUCS mailing lists this will be similar to your-common-room@maillist.ox.ac.uk.
If you first use GroupSpaces to send the e-mail to yourself and then forward it to an external mailing list using your e-mail client, your e-mail client may corrupt the special formatting of the e-mail that GroupSpaces creates to ensure maximum readability.
Please note that using an external mailing list with GroupSpaces means that who receives the e-mails is determined by the external list and is not related to the members of the GroupSpaces group.
